New client management, gallery and booking system!


I’ve been busy working on a new client management and booking system that will be going live very soon!


On my end, it’s been a learning curve and extremely tedious but on your end, it will be super simple and just about everything will be automated so things go out on schedule and ensures nothing is missed. Having other jobs slows my response time unfortunately so this will help!


Aside from how seamless and professional everything looks and functions, the main reason I am changing systems is to take out the back and forth chasing after signed contracts, payments and other documents. You will be unable to complete a date selection without completing both the contract and payment. I have had an influx of bookings come in without one or the other complete and have unfortunately had to send multiple reminders and in the end cancel sessions due to this and I can see these are being viewed, but intentionally ignored and that’s just unfair to myself and others who want a time someone has taken out of the availability until I have to release it again.


The new system also has online galleries which will function similarly to what I have been using, but in my opinion a lot easier including the built in online store which is a lot prettier too!


Something new will be client portals which will host all of your dates and documents in one place. You just need to log in when booking a future session for it to connect to your existing account. No more digging through your inbox to find document emails!


The only thing I cannot move over and automate is our client loyalty program but this is not going anywhere, I will just have to manage it a bit differently. At the moment, when checking out for a session on my website, the points system is built in and automatically gives points and allows you to use points right there. Going forward, when you book a session through the new system I will be manually adding those points to your account and when you want to use them, I will credit your account towards whatever you are wanting to spend them on. 


A bit more work on my end, but it will be less headache than chasing incomplete bookings and you will still receive the benefits of the program.


From what I can see through my testing in the new system, all emails I send go to my inbox and I have been having trouble with them going to your spam or other filtered folders with my current system so emails are being missed often including the VIP member emails. I’m hoping this new system functions better that way!


Unlike my current system, I have almost immediate access to live support with a real human and they have been incredibly helpful and responsive throughout my set up process. I have to wait days to over a week for a copy/paste response that usually doesn’t solve my problem with my current system.

Not to mention, the price of my current provider recently jumped up and not only are there no beneficial additions to the services, but instead more limitations and I’m outgrowing them.


So, look for an update on when the new system will go live and don’t hesitate to share your feedback good or bad! I want my clients to have a smooth, seamless experience and to be able to serve you better and faster! 😊
